# Entries

Review Finance > Entries, the ledger of every donation, refund, void, chargeback, fee, and bank transfer that changes your Anedot balance, and export it.

**Entries** is your fundraising account's ledger. Every donation, refund, void, chargeback, ACH return, fee, and transfer to your bank that changes your balance appears as its own line. Go to **Finance > Entries** to review the ledger, filter it, and export your entries. To see which transactions were in a deposit, use Payouts.

## Before You Begin

Your role needs these permissions, found under **Finance** in [Permission Sets](/settings/access/permission-sets.md):

* **Transactions: View permissions** to open **Finance > Entries**.
* **Transactions: Export permissions** to use **Export**.

If your role is limited by access tags, you only see entries from the Action Pages you can access.

## What You'll See in Entries

* **Balance:** The net amount collected since your last payout. It resets after each payout. Refunds, voids, chargebacks, and ACH returns come out of it right away.
* **Entry:** The donor's name for a donation, or a description for other lines.
* **Type:** What the line is: **Transaction**, **Refund**, **Partial Refund**, **Void**, **Chargeback**, **Chargeback Fee**, **Chargeback Reversal**, **ACH Return**, **ACH Return Fee**, or **Withdrawal** (a transfer to your bank). Other entry types show their name in title case.
* **Gross**, **Fee**, and **Net:** The amounts for that line.
* **Posted:** When the line posted, in your account's time zone.

Entries are listed newest first, and the totals update to match your filters.

{% hint style="info" %}
To review a single donation's donor details and fees, use [Transactions](/finance/management-and-reporting/transactions.md). Entries shows the ledger lines behind your balance. To see which transactions were in a deposit, use [Payouts](/finance/management-and-reporting/payouts.md).
{% endhint %}

### Example

A donor gives $100 and later gets a $25 partial refund. Entries shows a **Transaction** line for the $100 gift and a separate **Partial Refund** line for $25 on the day the refund posted.

## Filter Entries

To filter entries:

1. Go to **Finance > Entries**.
2. Click **Filters**.
3. Choose your filters. You can filter by page, amount, date, contact, payment, transaction, status, UTM values, and transfer.
4. Click **Apply filters**.

The list and totals show only the matching entries. To start over, click **Clear all filters**.

{% hint style="info" %}
Under **Status**, select one or more statuses, such as **Refunded** or **Chargeback**, to show only entries for transactions with that status. Choosing **Refunded** shows both the original gift and its refund line.

While any status is selected, transfers (withdrawals) and adjustments are hidden. To see them, clear the status filter.
{% endhint %}

## Reconcile a Deposit

To see which transactions were in a bank deposit:

1. Go to **Finance > Payouts**.
2. Find the payout that matches the deposit's date and amount.
3. Click the **Payout ID**.

Transactions opens filtered to that payout, so you can see which transactions were included and compare them with your bank statement. See [Payouts](/finance/management-and-reporting/payouts.md).

## View an Entry

To see the transaction behind an entry:

1. Go to **Finance > Entries**.
2. Click the menu at the end of the entry's row.
3. Select **View** to open the transaction, **Print** to print it, or **View in Transactions** to open it in Transactions.

From the transaction, you can refund, void, or edit it the same way as in Transactions. See [Refunds and Voids](/finance/management-and-reporting/transactions/refunds-and-voids.md).

## Export Entries

To export entries:

1. Go to **Finance > Entries**.
2. (Optional) Filter the list to the entries you want. The export uses your current filters.
3. Click **Export**.
4. Under **File type**, choose **CSV**, **PDF (detailed)**, or **PDF (summary)**.
5. (Optional) For a CSV, choose **Standard Configuration** or one of your saved configurations.
6. (Optional) Enter an **Email (optional)** to have the finished file emailed instead of downloaded.
7. Click **Start export**.

You'll see "Export started." When the file is ready, you'll see "Export is ready. Choose a file from Downloads." Exports list the newest entries first. CSV exports use your account's time zone.

CSV exports include a **Card Verification** category with **AVS Code**, **AVS Message**, **CVV Code**, and **CVV Message**.

{% hint style="info" %}
If **Export** is disabled, your role doesn't have **Transactions: Export permissions**, or no entries match your filters.
{% endhint %}

## Troubleshooting

## Frequently Asked Questions

* **What's the difference between Entries and Transactions?**\
  Transactions shows each donation. Entries shows every ledger line that changes your balance, including refunds, fees, and transfers.
* **Why does a refund show up as its own line?**\
  Each refund, void, chargeback, or ACH return posts a new line on the date it happens, so your ledger matches when money moved.
* **What does a Withdrawal line mean?**\
  It's a transfer from your Anedot balance to your bank. See [Payouts](/finance/management-and-reporting/payouts.md).
* **What time zone does Posted use?**\
  Your account's time zone. CSV exports use it too.
* **Can I export only refunds and chargebacks?**\
  Yes. Select those statuses under **Filters > Status**, then export. The export uses your filters.

## Querying This Documentation
If you need additional information that is not directly available in this page, you can query the documentation by asking a question.

Perform an HTTP GET request on the following URL with the `ask` and `goal` query parameters:

```
GET https://docs.anedot.com/finance/management-and-reporting/entries.md?ask=<question>&goal=<user_goal>
```

`ask` is the immediate question: it should be specific, self-contained, and written in natural language.
`goal` is what the user is ultimately trying to achieve, the reason they need the answer. Sharing it helps GitBook give you a better, more relevant answer. A goal is most helpful when it describes the outcome the user wants rather than restating the question. For example, with `ask=how do I create an API token`, a goal like `automate deployments from our CI pipeline` lets GitBook tailor the answer to that use case.

The response will contain a direct answer to the question and relevant excerpts and sources from the documentation.

Use this mechanism when the answer is not explicitly present in the current page, you need clarification or additional context, or you want to retrieve related documentation sections.
