# Transactions

Find, filter, and export donations in Finance > Transactions. Open a transaction to see its fees and donor details, or to edit, refund, or void the gift.

**Transactions** lists every donation to your fundraising account with its fees and net amount. Go to **Finance > Transactions** to find and filter donations, open a transaction to see its details, edit donor information, refund or void a gift, and export your transaction data.

## Before You Begin

Your role needs these permissions, found under **Finance** in [Permission Sets](/settings/access/permission-sets.md):

* **Transactions: View permissions** to open **Finance > Transactions**. Otherwise, it's disabled in the menu.
* **Transactions: Edit permissions** to see **Void**, **Refund**, **Edit**, and **Delete** on a transaction.
* **Transactions: Export permissions** to use **Export**.
* **Action Pages: Edit permissions** to use **New transaction**, which opens [Terminal](/finance/internal-processing/terminal.md) and [Terminal (Offline Entry)](/finance/internal-processing/offline-entry.md).

If your role is limited by access tags, you only see donations from the Action Pages you can access.

## What You'll See in Transactions

* **Balance:** The net amount collected since your last payout. It resets after each payout. Offline gifts don't change it.
* **All** tab: Donations made directly to your account.
* **Conduit** tab: Donations your account received as a conduit. This tab is empty unless your account has conduit transactions.

Each row shows the donor's **Full name**, **Timestamp**, **Action page**, **Fund**, **Status**, **Amount**, **Fees**, **Vendor fees**, and **Net amount**. The table also shows totals for **Amount**, **Fees**, **Vendor fees**, and **Net amount** across every transaction that matches your filters.

{% hint style="info" %}
To reconcile bank deposits, use [Entries](/finance/management-and-reporting/entries.md) and [Payouts](/finance/management-and-reporting/payouts.md). Transactions is for reviewing individual donations.
{% endhint %}

### Statuses

A transaction can show **Completed**, **Pending**, **Processing**, **Settling**, **Refunded**, **Partially refunded**, **Voided**, **Chargeback**, **Chargeback reversed**, or **ACH returned**.

By default, the list shows all dates and every status except **Pending** and **Processing**. To see those, select them under **Filters > Status**.

### Customize Columns

Click **Columns**, next to **Sort**, to show, hide, reorder, pin, or resize columns. Drag a column to move it. Click **Reset layout** to go back to the default.

Your layout isn't saved, so it resets when you reload the page. Column changes don't affect exports.

## Find a Transaction

To filter transactions:

1. Go to **Finance > Transactions**.
2. Click **Filters**.
3. Enter or choose your filters. You can filter by donor name, email, phone, or address, **Card last four**, **Amount**, dates, **Status**, **Action pages**, **Source**, **Recurring**, **Withdrawal ID**, **Source code**, UTM values, and access tags.
4. Click **Apply filters**.

The table shows only the matching transactions, and the totals update to match. To start over, click **Clear all filters**.

{% hint style="info" %}
For a date range, click **This month**, **Last month**, **This year**, or **All time** to fill in the **Start date** and **End date**. These ranges follow your account's time zone. You can also choose your own dates.
{% endhint %}

### Example

A donor calls to confirm their gift went through. Filter by their **Email** or **Card last four**, then click their name to check the status and amount.

## View Transaction Details

To open a transaction:

1. Go to **Finance > Transactions**.
2. Click the donor's name.

The transaction details open in a panel with these sections:

* **Donor:** Name (or organization), email, phone, occupation, and employer.
* **Addresses:** The addresses on the transaction.
* **Fees:** **Donated**, **Refunded** (when a refund was issued), **Anedot fees**, **Vendor fees**, and **Net**, plus whether the donor paid the fees.
* **Payment method:** The payment type and last 4 digits.
* **Custom fields:** The donor's answers to your page's custom fields, when there are any.
* **Transaction:** **Status**, **Date**, **Recurring**, **Source**, **Source code**, **Action page**, **Fund**, **Campaign**, **Check number**, **Origin**, and **UID**.
* **UTM codes** and **Items:** Shown when the donation has them.
* Click the **Action page** name to open that page in a new tab.
* For a recurring gift, click **View commitment** to open its schedule in [Commitments](/finance/management-and-reporting/commitments.md).
* Click **Print** to print the transaction.

## Edit Donor Information

To edit a transaction:

1. Go to **Finance > Transactions**.
2. Click the donor's name to open the transaction.
3. Click **Edit**.
4. Update the fields you need.
5. Click **Save**.

You'll see "Transaction updated." and the transaction shows your changes. Editing a transaction doesn't send the donor a receipt.

The **Edit transaction** panel includes:

* **Contact information:** **First name**, **Last name**, **Prefix**, **Middle name**, **Suffix**, **Email**, and **Phone**, plus **Organization name** on organization gifts.
* **Addresses:** **Billing address**, **Mailing address**, and **Shipping address**.
* **Employment:** **Occupation** and **Employer**.
* **Amount (USD):** Offline gifts only.

{% hint style="info" %}
You can only change the amount on offline gifts (cash, check, in-kind, and offline card). Offline gifts can also be deleted. See [Terminal (Offline Entry)](/finance/internal-processing/offline-entry.md).
{% endhint %}

## Refund or Void a Transaction

Open the transaction and click **Void** or **Refund**. A button only appears when that action is available.

* **Void:** Cancels a card or bank charge. It's available until the end of the hour that falls 3 hours after the charge settles.
* **Refund:** Returns all or part of a donation. It appears only when the gift can be refunded and can no longer be voided, for up to 14 months after the gift. Bank (ACH) gifts become refundable 8 days after the gift.
* **PayPal** gifts can be refunded but not voided.
* **Bitcoin** gifts can't be refunded or voided.

### Void Window Example

A card charge that settled at 2:10 PM can be voided until 5:59 PM. After that, **Refund** appears instead.

If a request fails, you'll see "Could not void this transaction." or "Could not refund this transaction." For the full steps, fees, and timing, see [Refunds and Voids](/finance/management-and-reporting/transactions/refunds-and-voids.md).

## Export Transactions

To export transactions:

1. Go to **Finance > Transactions**.
2. (Optional) Filter the list to the transactions you want. The export uses your current filters.
3. Click **Export**.
4. Under **File type**, choose **CSV**, **PDF (detailed)**, or **PDF (summary)**.
5. (Optional) For a CSV, choose **Standard Configuration** or one of your saved configurations.
6. (Optional) Enter an **Email (optional)** to have the finished file emailed instead of downloaded.
7. Click **Start export**.

You'll see "Export started." When the file is ready, you'll see "Export is ready. Choose a file from Downloads." Exports list the newest transactions first.

CSV exports include a **Card Verification** category with **AVS Code**, **AVS Message**, **CVV Code**, and **CVV Message** in the default layout.

{% hint style="info" %}
If **Export** is disabled, your role doesn't have **Transactions: Export permissions**, or no transactions match your filters.
{% endhint %}

## Troubleshooting

* **Finance > Transactions is disabled in the menu.**\
  Your role doesn't have **Transactions: View permissions**. Ask an Admin User on your account to update your role.

* **"No matching transactions"**\
  No transactions match your filters. Change your filters or click **Clear all filters**.
* **The date range buttons are unavailable.**\
  Choose a **Start date** and **End date** instead. If this keeps happening, check that your account has a time zone set in **Settings**.
* **Void or Refund doesn't appear.**\
  The action isn't available for that gift. Check the rules in [Refund or Void a Transaction](/finance/management-and-reporting/transactions.md#refund-or-void-a-transaction).

If the issue continues, contact our Support team.

## Frequently Asked Questions

* **Can I resend a donation receipt from Transactions?**\
  No. Contact our Support team to resend a receipt.
* **Can I change a donation's amount?**\

* **How long can I refund a donation?**\
  Up to 14 months after the gift. Bank (ACH) gifts can be refunded starting 8 days after the gift.
* **Does the export match what I see on screen?**\

## Querying This Documentation
If you need additional information that is not directly available in this page, you can query the documentation by asking a question.

Perform an HTTP GET request on the following URL with the `ask` and `goal` query parameters:

```
GET https://docs.anedot.com/finance/management-and-reporting/transactions.md?ask=<question>&goal=<user_goal>
```

`ask` is the immediate question: it should be specific, self-contained, and written in natural language.
`goal` is what the user is ultimately trying to achieve, the reason they need the answer. Sharing it helps GitBook give you a better, more relevant answer. A goal is most helpful when it describes the outcome the user wants rather than restating the question. For example, with `ask=how do I create an API token`, a goal like `automate deployments from our CI pipeline` lets GitBook tailor the answer to that use case.

The response will contain a direct answer to the question and relevant excerpts and sources from the documentation.

Use this mechanism when the answer is not explicitly present in the current page, you need clarification or additional context, or you want to retrieve related documentation sections.
